This privacy policy explains what personal information Parquet de Versailles collects through this website, why we collect it, who receives it, how long we keep it and the rights you have. This website collects very little, so we have kept the policy as short and plain as we can. Please read it alongside our Cookies Policy.
The short version
- The only place this website asks for personal information is the enquiry form.
- When you send the form, your enquiry is saved as a private record on this website and emailed to us, so that we can reply.
- This website has no online shop, no payments, no visitor accounts and no newsletter or mailing list.
- If you are simply browsing, this website sets no cookies and uses no analytics, advertising or social media tracking.
- You can ask to see, correct or delete your information by emailing info@parquet-de-versailles.co.uk.
Who we are and how to contact us
This website is run by Parquet de Versailles, a UK business. We decide how the personal information collected through this website is used, which makes us the “controller” of that information under UK data protection law, meaning the UK GDPR and the Data Protection Act 2018.
If you have a question about this policy or about your personal information, please email us at info@parquet-de-versailles.co.uk.
The information we collect
Information you give us in the enquiry form
The enquiry form is the only place on this website where we ask for personal information. To send it, you need to give us:
- your first name and last name
- your email address
- a message about your project
You can also choose to give us:
- your telephone number
- the name of your practice or company
- your role: architect, interior designer, heritage specifier, main contractor or private client
- the specifying architect or designer on the project
- where the project is
- the timber you are interested in
- the panel size you have in mind
- your programme, meaning when you need the floor
- one file, such as a floor plan or photographs, in PDF, JPG, PNG or WebP format and no larger than 5MB
Please include only what helps us understand your project. If your message or file includes details about other people, such as the specifying architect or designer, please only share what you are entitled to share.
Information recorded automatically when you send the form
When you send the enquiry form, this website also records:
- your IP address, which is the address your device or network uses to connect to the internet
- the page you sent the form from
- the date and time you sent it
- whether the email carrying your enquiry was delivered
- if your submission was treated as spam, the reason why
Information about you from other people
If someone names you in an enquiry, for example as the specifying architect or designer on a project, we will have received your name, and anything else they include about you, from that person. We use it only in connection with that enquiry, and our lawful basis is our legitimate interests in understanding and responding to the enquiry. It is kept, shared and protected in the same way as the rest of the enquiry, as described in this policy, and you have the same rights over it.
How we use your information and why
Data protection law says we must have a lawful basis for each way we use your personal information. This section explains what we do with your information and the basis we rely on for each use.
Replying to your enquiry
We use the details you give us to reply to you, answer your questions and, if you would like to go ahead, discuss your project and agree the specification for your floor. Where you are enquiring for yourself, for example as a private client, our lawful basis is that this is necessary to take steps you have asked us to take before entering into a contract with us (Article 6(1)(b) of the UK GDPR).
Responding to enquiries from professionals
If you contact us on behalf of a practice, company or client, for example as an architect, interior designer, heritage specifier or main contractor, we use your details in the same way. Here our lawful basis is our legitimate interests (Article 6(1)(f) of the UK GDPR). Our legitimate interest is in responding to enquiries from design and construction professionals about the projects they are working on, and in winning and carrying out that work.
Keeping a record of enquiries
Each enquiry is saved as a private record on this website as well as being emailed to us. This means an enquiry is not lost if an email goes astray, and we can check its details when we reply. Our lawful basis is our legitimate interests in keeping an accurate record of the enquiries we receive and making sure none is missed.
Protecting the form from spam and misuse
We record your IP address, the page you sent the form from, the date and time, whether the email was delivered and, where relevant, the reason a submission was treated as spam, so that we can identify and deal with spam and misuse of the form and check that genuine enquiries reach us. Our lawful basis is our legitimate interests in keeping this website secure, keeping our inbox free of spam and making sure genuine enquiries are not missed.
Our spam checks run entirely on this website’s own server. They use a hidden field that people cannot see but automated programs tend to fill in, a check on how quickly the form was completed, and a limit on the number of links in a message. We do not use reCAPTCHA, hCaptcha or any other outside spam-checking service, and the checks do not use cookies.
Where we rely on our legitimate interests, you have the right to object. See “Your rights” below.
Do you have to give us your information?
No. Contacting us is up to you, and there is no legal or contractual requirement to fill in the form. We do need your first name, last name, email address and a message about your project in order to reply. Everything else is optional, although details such as the timber, panel size and programme help us give you a more useful first reply.
Who receives your information
Your enquiry comes to us at Parquet de Versailles. It is emailed to us, with any file you upload attached, and saved as a private record in this website’s own database. Only administrators who log in to manage this website can see those records. They are not visible to other visitors.
We also use service providers who handle your information on our behalf. In data protection law they are our “processors”. They are:
- Our website hosting provider, which runs the server that this website and its database are kept on.
- Our email delivery provider, which sends enquiry emails from this website to our inbox.
Information stored outside the UK
We are a UK business. Whether your information is stored or accessed outside the UK depends on where our hosting and email delivery providers keep and process it. UK data protection law only allows personal information to be sent outside the UK where it stays protected, for example because the UK government has approved the country it is going to, or because the provider has signed approved contract terms. If any of our providers transfers your information outside the UK, we will make sure a protection of this kind is in place. You can email us to ask where your information is held and how it is protected.
How long we keep your information
We keep your enquiry only for as long as we need it to reply to you, to discuss your project and to keep proper records of the enquiries we have received.
A file you upload is not kept in the website’s enquiry record. The website holds it only temporarily, attaches it to the email we receive and then deletes its own copy. The copy attached to the email is kept with that email.
Your rights
UK data protection law gives you the following rights over your personal information. Some of them only apply in certain situations.
- Access. You can ask for a copy of the personal information we hold about you.
- Rectification. You can ask us to correct information that is wrong, or to complete information that is incomplete.
- Erasure. You can ask us to delete your information, for example when we no longer need it for the reason we collected it.
- Restriction. You can ask us to limit how we use your information, for example while we check whether it is accurate.
- Objection. You can object to our using your information where we rely on our legitimate interests. We will then stop, unless we have compelling legitimate grounds that override your interests, rights and freedoms, or we need the information to establish, exercise or defend legal claims.
- Portability. Where we use information you gave us to take steps you asked for before a contract, you can ask for it in a structured, commonly used, machine-readable format, or ask us to send it to another organisation where that is technically possible.
- Withdrawing consent. Where we rely on your consent, you can withdraw it at any time. At present we do not rely on consent for anything on this website.
To use any of these rights, email us at info@parquet-de-versailles.co.uk. You do not normally have to pay. We may ask you to confirm your identity before we act on your request. The law normally gives us one month to respond. If your request is complex, or you make several requests, the law allows that time to be extended, and if we need longer we will tell you within the first month and explain why.
Automated decisions
We do not make decisions about you based solely on automated processing, including profiling, that have a legal or similarly significant effect on you. The only automatic step is the spam check described above, which looks at how the form was filled in rather than at who you are. If you think a genuine enquiry has not reached us, please email us directly at info@parquet-de-versailles.co.uk.
Cookies
If you browse this website without logging in, it does not set any cookies, and our own scripts do not use similar browser storage. The website uses no analytics, advertising or social media tracking, and it does not load fonts, maps, videos or social media feeds from other companies. Our fonts are hosted on this website.

Complaints

Changes to this policy
We will update this policy if the way this website collects or uses personal information changes, for example if we start using a new service provider. The date at the top of this page shows when it was last updated.
